Cool Climate Wine Summit Copenhagen ApS ("CCWS", "we", "us") organises international trade fairs dedicated to cool climate wines. We are registered in Denmark under CVR number 46271645, with our registered address at Tingvej 75, 04 tv, 2300 Copenhagen, Denmark.

We are the data controller for personal data collected through our website coolclimatesummit.com and in connection with our events.

We collect personal data in the following situations:

We do not knowingly collect data from persons under 18 years of age.

3. How We Use Your Data

We use your personal data to:

  • Process visitor registrations and exhibitor applications for our events
  • Send event-related communications including confirmation emails, logistics information, and schedule updates
  • Send our newsletter and marketing communications (where you have consented)
  • Produce attendee and exhibitor lists shared with event participants
  • Improve our website and services through analytics

4. Legal Basis for Processing

  • Contract performance — to process your registration or application and fulfil our obligations to you as an event participant or exhibitor

  • Legal obligation — where required by applicable law

5. Sharing Your Data

We do not sell your personal data. We may share your data with:

  • Event participants — an attendee list (name, company, country) may be shared with exhibitors, and an exhibitor list shared with registered visitors, to facilitate business meetings at the event
  • Service providers — including our email platform (Brevo), website hosting (one.com), and analytics tools, acting as data processors under our instruction
  • Legal authorities — where required by law or to protect our legal rights

Where we transfer personal data outside the European Economic Area, we ensure appropriate safeguards are in place in accordance with GDPR requirements.

6. Data Retention

We retain your personal data for as long as necessary to fulfil the purposes for which it was collected:

  • Event registration data is retained for up to 3 years after the event
  • Newsletter subscriber data is retained until you unsubscribe
  • Financial and invoicing records are retained for 5 years in accordance with Danish bookkeeping legislation

7. Your Rights

Under the GDPR, you have the following rights regarding your personal data:

  • Access — request a copy of the personal data we hold about you
  • Rectification — request correction of inaccurate or incomplete data
