1. Definitions
In these Terms and Conditions:
- "CCWS" means Cool Climate Wine Summit Copenhagen ApS, CVR 46271645
- "Event" means any Cool Climate Wine Summit trade fair organised by CCWS
- "Visitor" means a trade professional registered to attend an Event
- "Exhibitor" means a winery or producer accepted to present at an Event
- "Website" means coolclimatesummit.com and all its subpages
By registering as a Visitor or applying as an Exhibitor, you agree to these Terms and Conditions.
2. Visitor Registration
Our Events are open exclusively to qualified trade professionals, including importers, distributors, sommeliers, restaurateurs, retailers, and accredited press.
- Registration is free of charge for eligible trade visitors
- CCWS reserves the right to decline any registration at its discretion
- Registered visitors may be included on an attendee list shared with exhibitors
- Entry may be refused if CCWS is not satisfied that the visitor qualifies as a trade professional
- Visitors must be at least 18 years of age
- Master Classes may require a separate ticket and are subject to limited capacity
3. Exhibitor Participation
Exhibitor participation is subject to a separate Exhibitor Agreement which governs fees, table allocation, wine shipping, and logistics. The following general terms apply to all exhibitors:
- All exhibitors must present wines that qualify as cool climate wines, as determined by CCWS
- Exhibitor table assignments are at the sole discretion of CCWS
- Exhibitors are responsible for the lawful importation and logistics of their wines to the event venue
- Exhibitors may not sub-let or share their table space without prior written consent from CCWS
- CCWS reserves the right to remove an exhibitor from the event for violation of these terms or the Exhibitor Agreement
4. Cancellation & Refunds
Visitor cancellations
As visitor entry is free, no refund applies. If you are unable to attend, please notify us at registration@coolclimatesummit.com so we can release your place.
Master Class tickets
Master Class tickets are non-refundable within 14 days of the event. Cancellations made more than 14 days before the event will receive a full refund.
Exhibitor cancellations
Exhibitor cancellation terms are set out in the individual Exhibitor Agreement. As a general rule, cancellations made more than 90 days before the event will receive a full refund of any fees paid. Cancellations within 90 days are non-refundable.
Event cancellation by CCWS
In the event that CCWS is required to cancel or significantly alter an event, we will notify all registered participants as soon as possible. Exhibitors will be entitled to a full refund of fees paid. CCWS shall not be liable for any travel, accommodation, or other costs incurred by visitors or exhibitors.
5. Code of Conduct
All participants — visitors and exhibitors alike — are expected to behave professionally and respectfully at all times during CCWS Events. The following is not permitted:
- Harassment, discrimination, or abusive behaviour toward other participants or staff
- Disruptive behaviour that interferes with the experience of other attendees
- Consuming alcohol to the point of intoxication
- Soliciting or conducting commercial transactions beyond the scope of normal trade discussions
- Photography or recording of other participants without their consent
CCWS reserves the right to remove any participant from an Event for violation of this Code of Conduct without refund.
6. Intellectual Property
All content on the CCWS Website — including text, images, logos, and design — is the property of Cool Climate Wine Summit Copenhagen ApS or its licensors and is protected by copyright.
You may not reproduce, distribute, or use any content from the Website without prior written permission from CCWS, except for personal, non-commercial reference.
Photographs taken at CCWS Events by CCWS's official photographers remain the property of CCWS. Exhibitors and visitors grant CCWS a non-exclusive licence to use photographs in which they appear for promotional purposes.
7. Limitation of Liability
CCWS shall not be liable for any indirect, incidental, or consequential loss or damage arising from participation in an Event or use of the Website.
CCWS does not accept liability for loss of or damage to property brought to an Event by visitors or exhibitors.
Nothing in these Terms limits CCWS's liability for death, personal injury caused by negligence, or fraudulent misrepresentation.
8. Force Majeure
CCWS shall not be in breach of these Terms or liable for any delay or failure to perform its obligations if such delay or failure results from events, circumstances, or causes beyond its reasonable control, including but not limited to natural disasters, pandemics, acts of government, war, civil unrest, or failure of third-party infrastructure.
9. Governing Law
These Terms and Conditions are governed by Danish law. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Copenhagen, Denmark.
10. Changes to These Terms
CCWS reserves the right to update these Terms and Conditions at any time. We will publish the updated version on this page with a revised "Last updated" date. Continued use of the Website or participation in Events after such changes constitutes acceptance of the new terms.
